Problem
Building management in Greece still runs on cash, paperwork and in-person visits.
Managers are buried in manual processes and legal obligations, so most hand it to management companies that are expensive and opaque to managers, owners and tenants alike.
Role & team
I joined in August 2022 as the founding product designer, to revamp the whole platform from MVP to production-ready.
I worked directly with the CEO, CPO and CTO, and contributed to product strategy and roadmap prioritization.
Approach
Everything we did was a way to find out whether the timing was right for this product.
The MVP was built around the needs a couple of building companies shared: issuing shared expenses, collecting payments without being there, and sending reminders about dues. I revamped the whole platform from there, to make it production-ready.
- Interviews and usability tests with building managersI moderated every session myself, online. Each one combined a user interview with a usability test, with building managers from companies and independent managers, testing the onboarding.
- Issues caught in testingImportant issues in how heating bills are split between apartments, one of the most complicated areas. Based on our findings, we iterated on the flow and launched.
- Features users asked forWe added the features users requested, like sending individual reminders, or adding a bill that a tenant paid: its amount goes into the shared bill but comes off what that tenant has to pay. We kept improving the product constantly.
Challenge
In a market of cash, paper and distrust of digital tools, the product had to earn trust before it could change behavior. Every feature had to be simpler than the manual process it replaced, or it wouldn’t get used.
Solution
Billys puts shared expenses, digital payments, building communications and financial reporting in one place, replacing manual back-and-forth with automated workflows.
Managers log expenses, send notifications and collect payments. Owners see where their money goes. Tenants get charges digitally and pay without showing up in person.
That brings transparency to all financial matters in every building, for managers, owners and tenants alike.

Ways of working
I tracked user behavior with Hotjar recordings and heatmaps, which showed how managers and tenants really used the product.
QA played an important role in making sure everything worked as expected.
Results & impact
- All managers in the tests completed onboarding
- Around 80% of tenants and owners paid online
Our users were early adopters, including some more tech-savvy managers and tenants.
The need was there for sure, but the market was not fully mature: tenants took longer to switch, as many of them were older and not used to technology.
Scaling was slow, as operations were heavy and building management decisions are taken by a vote of all the owners.
